Two Presentation Rule
New this year, the presentation rule has changed (from a maximum of one presentation to a maximum of two presentations). Presenters with more than two high-scoring submissions will be asked to choose which two sessions at which to present, unless one was clearly preferred by the planning committee for significant reasons, e.g. program diversity. When a presenter withdraws from a panel, the remaining panel will be asked to find a substitute speaker to replace the panelist. If no substitute is found and the absence significantly affects the presentation, the remaining panel may be removed from the program. Preconference Workshops and Posters are exempt from the two presentation rule.
Organizers and Moderators for sessions with multiple speakers
In response to requests from proposal submitters to be able to submit sessions without having to be tied to them as a speaker or a moderator, two new designations are made this year: Organizer and Moderator. The "Organizer" is the person who puts the session together and submits the proposal. The "Moderator" is the designated representative for the session. Moderators introduce speakers and do not present seperately. The Two Presentation rule does apply to Moderators.
The Organizer is the person who organizes and submits the proposal. The Organizer is responsible for submitting a complete proposal. Incomplete proposals will not be reviewed. The Organizer may serve as the session's Moderator or Speaker in the session if he/she wishes to remain connected to the session.
***Important: Organizers are not necessarily exempt from the two presentation rule. The “two presentation rule” comes into play when an Organizer is also a Moderator or a Speaker. If an Organizer is a Moderator or Speaker on more than two high-scoring submissions he/she will be asked to choose which two sessions at which to present, unless one was clearly preferred by the planning committee for significant reasons, e.g. program diversity. If a person is an Organizer only and will not be a presenter at the meeting in the role of Moderator or Speaker on any session, then he/she is exempt from the two presentation rule.
The online submission system does not contain fields called "Moderator" and "Organizer," so the person submitting the proposal will be prompted to enter the Moderator's name in the "Presenting Author" field. Only one Presenting Author may be entered for a Panel, Workshop, or Preconference Session. The last speaker entered in the proposal will be considered the Organizer. If the person submitting the proposal wishes to serve as the Moderator, he/she should enter his/her name in the Presenting Author field, and in so doing he/she will be the main representative for the session.
If the proposal is accepted, the Moderator (designated “Presenting Author” in the online submission system) is the person responsible for the session and the main representative, not the Organizer. If the proposal is accepted, all Moderators and Speakers in the session will be notified.
If the proposal is not accepted, the proposal's Organizer will be notified.
Anonymous and Not Anonymous Proposals
Preconference Workshops are not anonymous proposals. Please include presenters’ names and other identifying information for Preconference Workshop proposals.
All other proposals are anonymous. Anonymous proposals are: 90-minute Workshop Sessions; 60-minute Panel Sessions; 15-minute Individual Presentations; Posters. Do not include presenters’ names or other identifying information in these proposals.
Proposal Checklist
Incomplete proposals will not be reviewed. Incomplete proposals include proposals with TBD for speaker names. Complete proposals have completed the following in the electronic submission tool. Please be sure you have the following information for your proposal before you submit your proposal:
For all speakers in your proposal: complete name, credentials, facility name, and email address. The submitter of the proposal will enter this information for each speaker. The speaker names, credentials, and facility names the submitter enters will appear in the conference brochure and program book.
Selection of one topic area: Arts, literature, and cultural studies; Clinical ethics; Education; Empirical research; History; Law; Organizational ethics; Philosophy; Policy and public health; Religious studies; Research ethics; Social science; or Theme. Please designate "Theme" as your topic area if your proposal is on a topic that does not fit in one of the other topic areas.
A title that clearly states the subject matter.
A listing of the session’s measurable objectives and how these objectives will be met. These objectives will be included in the program book. Objectives are statements that describe in precise, measurable terms what learners will be able to accomplish at the conclusion of the educational activity.
-Objectives must begin with “At the conclusion of this activity, participants will be able to …”
-Verbs that communicate acquisition of knowledge are: cite, define, describe, identify, or list. Verbs that communicate comprehension are: describe, discuss, explain or interpret. Verbs that communicate application are: apply, demonstrate, review, and translate. Verbs that communicate evaluation are: appraise, determine, and recommend.
-Verbs to avoid are: appreciate, know, learn, and understand.
An abstract (500-word maximum length) that describes the session’s content or the nature of the study. This information will be included in the program book. Include sufficient detail to permit an independent evaluation of the potential effectiveness of the session. Provide only one abstract per proposal. Only one abstract should be submitted for panels or other group sessions, even though there will be multiple speakers.
A description of the multi- or inter-disciplinary nature of the work and the backgrounds of the contributors.
A description of how the presentation time will be used, including how the audience will be engaged.
Speaker Registration
Speakers are required to register for the meeting and should register for the whole meeting or for the one day that he/she is scheduled to speak. One day registration entitles the speaker to attend all sessions (excluding extra-cost events) on the day he/she is registered only.
***Important: All speakers must fill out a Meeting Registration Form from the conference brochure to register for the meeting. Submitting a proposal does not mean you are registered for the meeting.
Speaker registration may be waived. If the speaker is not an ASBH member and is coming in only to speak and then will leave and he/she will not attend another session, he/she is not required to register. The speaker will not be registered for the meeting and will not receive the meeting registration materials, including the program book.
Notification
The Program Planning Committee will select proposals for the meeting in April 2007. Submitters of proposals will be informed if their proposal has been accepted or not selected for the meeting via email. Notification will be emailed to the email address that the submitter used when he/she submitted the proposal.
Hotel Information
The 2007 Annual Meeting will take place at the Renaissance Washington DC Hotel in Washington, DC on October 18-21. All speakers are required to make their own hotel room reservations. ASBH will not make hotel room reservations for speakers.
